Registration Policy & Procedure

This policy describes how prospective students create an account, enroll in a course, and are uniquely identified in the NMLS so completed education is reported to the correct record.

Account Creation

Every student registers a secure individual account before enrolling.

  • Students provide their legal first, middle, and last name exactly as it appears in the NMLS.
  • Students provide their NMLS ID number (if already assigned), email address, phone number, and mailing address.
  • A student may only hold one account. Shared or group accounts are prohibited to preserve the integrity of seat time and attendance records.
  • Contact information is verified by a confirmation email before enrollment can be completed.

Course Enrollment

Registration into a specific course captures the data NMLS requires for credit banking.

  • The student selects the course, delivery format (live online instructor-led), and start date/section.
  • At enrollment the student acknowledges the Student Rules of Conduct (ROCS), the attendance and seat-time requirements, and the refund and cancellation policy.
  • The system records the enrollment date, course code, and the student’s NMLS ID for later credit banking.
  • Enrollment confirmation, the class schedule, and login instructions are emailed to the student immediately.

Identity & Eligibility

  • Student identity is verified at course launch and, for live-online delivery, re-verified during the course through periodic engagement checks.
  • A student may not register another person or complete any portion of the course on another student’s behalf.
  • The provider reserves the right to decline or cancel a registration that contains inaccurate identifying information until it is corrected.

Registration Records

  • Registration data, enrollment date, and the acknowledgements collected at enrollment are retained for a minimum of five (5) years in accordance with our Data & Document Retention Policy.
  • Students may update their profile information at any time from the student portal; the provider maintains an audit trail of material changes.
